Accounts Payable Clerk & Receptionist

Role Overview

The Accounts Payable Clerk and Receptionist supports and directly contributes to the accounting and finance activities for Western Shelter Systems and CrewBoss business lines.  He/She will work to support the ongoing operational needs of the accounting department and front office along with being the primary initial point of public contact.  Reports directly to the Controller.

Qualifications

•    2-year Associate degree in accounting or comparable work experience
•    Must possess excellent written and oral communication skills
•    Proficient with mainstream desktop applications and current office technology
•    Demonstrate good judgment in selecting methods and techniques for obtaining solutions
•    Experience in a manufacturing environment preferred
•    Experience using electronic document management systems preferred

Responsibilities

  • Accounts Payable:
    •    Match incoming vendor invoices to PO and receiving documents (standard 3-way matching) utilizing electronic document management system
    •    Work with procurement and receiving to resolve any exceptions
    •    Route all non PO invoices for appropriate approval and coding using electronic document management system
    •    Process weekly vendor disbursements by required means (electronic, credit card, or physical check)
    •    File records physically or electronically as needed
    •    Support needs for annual audit and recurring collateral exams
  • General Administrative
    •    Primary reception contact for incoming phone calls and reception duties
    •    Picks up mail daily and other errands as required
    •    Log any incoming checks and route to bank lockbox for processing
    •    Purchases office supplies as needed; organizes and maintains office supply inventory.
    •    Responsible for daily and/or ongoing maintenance of front office equipment
    •    Maintains front office cleanliness and organization including conference room
    •    Provide administrative support to executive management team as needed

Accounts Receivable Clerk & HR Assistant

Role Overview

The Accounts Receivable Clerk and HR Assistant supports and directly contributes to the accounting and finance activities for Western Shelter Systems and CrewBoss business lines.  The position is accountable for creating invoices and credit memos, issuing them to customers by all required means, and updating customer files.  The role will be also be responsible for supporting payroll activities, benefits administration, and related HR reporting.  Reports directly to the Controller.

Qualifications

•    2-year Associate degree in accounting or comparable work experience
•    Must possess excellent written and oral communication skills
•    Must be detail oriented
•    Proficient with mainstream desktop applications and current office technology
•    Demonstrate good judgment in selecting methods and techniques for obtaining solutions
•    Experience in a manufacturing environment preferred
•    Experience using electronic document management systems preferred

Responsibilities

  • Billing and Accounts Receivable:
    •    Prepares daily invoices to customers, process credit memos as needed
    •    Enter invoices into customer invoicing web sites
    •    Apply daily cash receipts to customer files and deposit schedules
    •    Monitor AR aging, make calls to customers to ensure proper billing and timely payment, prepare and send notice letters as required
    •    Process monthly finance charges and prepare monthly statements
    •    Support needs for annual audit and recurring collateral exams
  • HR and Benefits Administration
    •    Support HR Manager to onboard new and temporary employees.
    •    Maintain accurate time clock capture for employees
    •    Assist employees with required benefits forms
    •    Prepare weekly and monthly compliance reports as needed
  • General Administrative
    •    Backup primary receptionist for incoming phone calls and reception duties
    •    Provide administrative support to executive management teams as needed
    •    Maintains front office cleanliness and organization
    •    Purchases operating and office supplies as required.  Organizes and maintains office supply inventory
    •    Responsible for daily and/or ongoing maintenance of front office equipment

Production Positions

Role Overview

The Sewing Machine Operator assembles a variety of parts and products using sewing equipment/machines. They measure, align and sew parts and assemblies to predetermined specifications and drawings. The Sewing Machine Operator is responsible for properly constructing each item assigned in a timely manner. This position reports to the Production Supervisor.

Qualifications

  • High school diploma or equivalent
  • One-year work experience, preferably in manufacturing
  • Basic sewing knowledge preferred

Responsibilities

  • Assures that all products are built to the highest standard of quality.
  • Constructs assigned items or components of such items properly, following a combination of printed work instructions, integral samples and verbal instructions from production supervisor.
  • Inspects in-process materials to ensure proper cut, shade compatibility, material flaws and the correctness of prior construction steps. 
  • Reports product non-conformities to production supervisor in a timely manner.
  • Maintains quality objectives and standards for the department.
  • Works with team members to maximize productivity and efficiency.
  • Maintains assigned machines by exercising routine maintenance and cleaning on a daily basis, or as needed. Report equipment malfunction to the production supervisor in a timely manner.
  • Ensures scheduled equipment maintenance is performed.
  • Notifies supervisor of maintenance issues with production equipment.
  • Assists in the training of new employees, as needed.
  • Operates sewing equipment safely.
  • Responsible for all safety aspects within the scope of work.
  • Follows correct ISO procedures, including lot number tracking where applicable.

Key Attributes

  • Ability to communicate effectively in English, both orally and in writing.
  • Ability to work independently with minimal supervision.
  • Must be able to lift a minimum of 25 lb without assistance.

Customer Service Representative (FILLED)

Role Overview

The CrewBoss Customer Service Representative works to develop and maintain relationships with direct customers, and distributors of CrewBoss products, by aiding them with product and pricing questions, responding to order requests, entering and revising orders as needed, and enhancing customers overall experience with the company. The Customer Service Representative helps increase sales, and aid customers primarily through the utilization of the phone and other verbal and written forms of communication, such as email. Expected to provide product knowledge, and ensure customer satisfaction in all areas of the business. This position reports to the Director of Sales – CrewBoss. 

Qualifications

  • Minimum of 2 years in sales or sales support experience required
  • Excellent oral/written communication, interpersonal, and organizational skills
  • Fluent in Microsoft Office
  • Experience working with ERP system required
  • High level of integrity and professional ethics
  • Ability to handle a fast-paced environment
  • Strong attention to detail and determination toward accuracy

Responsibilities

  • Represents CrewBoss and its products in assigned areas
  • Aid Sales Directors in achieving and exceeding annual sales goals
  • Respond to customer contacts through phone calls and email regarding orders, sales opportunities and understanding overall customer needs
  • Perform accurate and timely input of customer orders into ERP system
  • Develop new business opportunities through product knowledge and willingness to meet customer expectations
  • Build and sustain relationships with customers focusing on long-term relationships. Evaluate customer satisfaction following order execution in a timely and professional manner
  • Collaborate with marketing, production and shipping to ensure fulfillment and accuracy of customer orders
  • Work with R&D on new product and custom orders
  • Review data for errors and correct prior to order going into production
  • Work with Production Manager to provide delivery dates and order updates
  • Maintain detailed knowledge of company products

Marketing Coordinator (FILLED)

Role Overview

Western Shelter Systems and CrewBoss are seeking a Marketing Coordinator who is a growth oriented, dynamic individual with the ability to wear multiple hats. The Marketing Coordinator will work directly with the Marketing and Sales departments to create compelling marketing and design collateral that enhances the Western Shelter and CrewBoss brands, supports company strategy and influences the bottom line. This position will be part time to full time and reports to the Business Development Manager.

Qualifications

  • 4-year college degree in a relevant field preferred
  • 2+ years relevant product marketing experience
  • Must possess excellent written and oral communication skills, including demonstrated excellence in writing clear, concise, and well-organized marketing tools
  • Proficient with mainstream desktop applications and internet platforms
  • Demonstrate good judgment in selecting methods and techniques for obtaining solutions

Responsibilities 

  • Write compelling copy with a branded voice for blog posts, advertisements, brochures, product sheets, social media, and catalogs
  • Become familiar with the company’s product offerings and markets that it serves
  • Manage email marketing campaigns
  • Update Websites (experience with HTML/CSS is preferred)
  • Publish social media content to support overall strategy
  • Manage SEO for both Western Shelter and CrewBoss websites
  • Manage the production of creative, compelling on-brand and on-strategy marketing communications
  • Work closely with sales and marketing teams on developing product launch marketing plans and collateral
  • Develop internal and external communications plans for the engagement of employees and customer segments
  • Manage digital and print advertising campaigns
